Time and billing
Time and billing (Module 05) is a Studio-only capability for firms that bill by the hour. It adds a timer and manual time entry, team time approval, hourly snapshot drafts, combined product and time invoices, payment reconciliation, and accounts-receivable aging. Product invoicing is not part of this module — it belongs to Procurement, which is available from Professional upward.
Time capture
Team members can capture time against a project using a built-in timer or by entering time manually. Each entry records the team member, project, duration, and a description. Time entries are visible in the project timeline and are locked once approved.
Team time approval
Owners and administrators review and approve team time entries before they can be billed. The approval queue shows all unapproved time grouped by project and team member. Approved entries are locked and become available for invoicing; rejected entries are returned with the reviewer’s notes for correction.
Hourly snapshots and combined drafts
When generating an invoice, the designer chooses which approved time entries to include. The system takes an hourly snapshot at that moment — changing time rates later does not retroactively alter billed amounts. On Studio, the draft can combine product lines from Procurement and selected time entries into a single invoice. The draft is reviewed line by line before sending.
Payments and AR aging
Payments can be recorded manually or reconciled against Stripe payments when client payments are enabled. The accounts-receivable aging view shows outstanding invoices grouped by overdue period. A one-time overdue nudge can be sent to the client from the invoice detail. The invoice PDF includes both product and time lines when applicable.
Exports
Invoice data can be downloaded as a CSV formatted for manual import into Xero or QuickBooks Online. There is no live accounting sync — the firm downloads the file and imports it into their accounting software.
