Client onboarding

Once an inquiry converts, IDOS runs the client through a configurable step engine: contract, deposit, welcome, and kickoff. The client interacts through a branded portal and the firm tracks progress from the dashboard. The sequence is snapshotted when started so changes to the template do not retroactively alter active onboardings.

Step engine

Each firm defines the onboarding steps. The current default sequence is a contract step, a deposit step, a welcome communication, and a kickoff handoff. Steps can be marked complete manually or advance through automated triggers. The state of every active onboarding is visible from the dashboard so the firm knows where each client stands.

Contract and deposit

The contract step uses first-party type-to-sign audit fields: the system records who signed, the exact timestamp, and the signer’s entered name. No countersignature is required; the firm accepts the signed record as the client’s agreement. The deposit step can attach a payment link when client payments are enabled through Stripe — the client pays from the portal. When client payments are not enabled, the portal displays deposit instructions and the firm records the payment manually.

Client portal

Every client gets a branded, read-only portal accessible through a token link — no account or password needed. The portal shows their current step, any communications sent, and documents shared with them. The firm’s branding is applied; no IDOS logo appears on client-facing surfaces.

Welcome Guide and handoff

The Welcome Guide is a single configurable body — the firm can set its content (scope summary, process overview, expectations) and it is sent to the client as part of the welcome step. When onboarding completes, the system sends a phase-handoff communication introducing the project phase. Both the welcome and handoff communications use transactional email and fall back to the portal when email delivery fails.

Direct and manual fallbacks

When a client does not have a working email address or email delivery repeatedly fails, the firm can send portal links directly — by text, in person, or through any external channel. Step completion can be marked manually so the project progresses regardless of communication method.
