Privacy Policy

What IDOS is

IDOS is software for interior design studios. It helps studios manage clients, projects, proposals, sourcing, purchasing, documents, invoices, and related work.

Information we collect

We collect information needed to provide and protect the service, including:

  • Account and studio details: names, email addresses, protected passwords, team roles, branding, preferences, and subscription status. We use these to create accounts, sign users in, control access, personalize the studio, and provide support.
  • Client, lead, vendor, and project details: contact information, addresses, budgets, notes, proposals, onboarding answers, agreements, meetings, products, approvals, purchase orders, deliveries, time entries, invoices, credits, and payment records. We use these to provide the studio workflows the user chooses to run.
  • Files and communications: uploaded documents, images, email content, delivery status, and project messages. We use these to store and deliver the material a studio asks IDOS to handle.
  • IDOS subscription details supplied by Stripe, including customer, subscription, transaction, and refund references. IDOS does not store full payment-card numbers.
  • Optional buyer-survey answers about why a studio subscribed, its previous tools, desired result, and improvement priorities. We use these privately to decide what IDOS should improve; they do not trigger sales follow-up.
  • Security information: protected IP-based rate-limit records, password-reset records, login activity, browser details, and service logs. We use these to protect accounts, prevent abuse, recover access, and diagnose failures.

How we use information

We use this information to run IDOS, provide requested features, authenticate users, process IDOS subscriptions, send requested communications, protect accounts, prevent abuse, provide support, fix problems, and meet legal obligations.

Studios and their clients

A studio controls the client and project information it adds to IDOS. Studios are responsible for having permission to add and use that information. We process it only to provide IDOS and follow the studio’s instructions, unless the law requires otherwise.

Service providers

We use hosting and database services, private file storage, Stripe for IDOS subscription payments, and Resend for email delivery. IDOS exchanges only the information needed to run the service you request — subscription and payment details with Stripe, and email delivery details with Resend. IDOS does not use this information for unrelated advertising.

Sharing and selling information

We do not sell personal information. We do not share it for unrelated advertising. We may disclose information to service providers, when required by law, to protect IDOS or its users, or as part of a business sale or reorganization subject to appropriate safeguards.

Storage and security

We use access controls, encryption where appropriate, private storage for confidential files, and other reasonable safeguards. No online service can promise absolute security, so studios should use strong passwords and limit access to trusted team members.

Retention and deletion

Users control deletion from Account and data settings. A team member can permanently delete their account. A studio owner can transfer ownership and delete only their account, or immediately delete the entire studio and all active data. Full studio deletion removes accounts, client and project records, documents, files, messages, invoices, integration credentials, and connected-service records, and cancels the IDOS subscription. No permission from IDOS is required.

Protected disaster-recovery backups may retain deleted data for up to four weeks. Backups are not used as active product data and expire automatically. We may retain a minimal deletion record containing IDs, status, timestamps, object count, and an error message, but no customer content.

Your choices

Users can access and change their information inside IDOS, download studio records from Export data, disconnect integrations, and delete their account from Account and data settings. Studio clients should normally contact their studio because the studio controls their project information. Questions may be sent to IDOS, but IDOS approval is not required for a user to delete their own account or studio.

Cookies

IDOS uses cookies and similar browser storage needed for login, security, preferences, and the operation of the service. We do not use them to sell personal information.

Changes

We may update this policy as IDOS changes. We will publish the updated policy here and change the effective date. If a change materially affects users, we will provide additional notice where appropriate.
